SUMMARY: The Site Office Manager provides supports to the VP of Residential in organizing the administrative functions of the Residential Services Division, with additional responsibility for Adult Foster Care / Shared Living (AFC/SL) and Family Support Center (FSC) programs as assigned. This position provides oversight to the work of the Residential Office Support Manager and the Office Manager, ensuring consistent, efficient, and compliant practices across programs. The role also serves as the primary point of contact for building-related issues and landlord communications, while advancing organizational priorities and supporting premier services for individuals, families, and staff.

ESSENTIAL FUNCTIONS:

  • Provides guidance to the Residential Office Support Manager and AFC/SL and FSC Office Manager, ensuring clear delegation of duties and non-duplication of responsibilities with leadership from the VP of Residential.
  • Organizes administrative systems across Residential, AFC, and FSC programs to promote consistency and efficiency.
  • Act as the primary point of contact for landlord communications and coordinate building-related needs.
  • Oversee program-level compliance with administrative practices, policies, and procedures; recommend and implement improvements.
  • Collaborate with Human Resources, Fiscal, and other departments to ensure effective staffing, financial oversight, and administrative support.
  • Under the direction of the VP pf Residential, provide administrative support of division wide administrative projects, technology improvements, and process changes.
  • Support the Vice President of Residential Services in establishing goals, priorities, and administrative strategies for the division.
  • Foster communication and collaboration across administrative and program teams.
  • Attend meetings, trainings, and professional development as required.
  • Perform other duties as assigned by the Vice President of Residential Services or Senior Leadership. Maintain all program and Agency required trainings.

QUALIFICATIONS:

  • Bachelor’s degree in business, administration, or a related field; or an equivalent combination of education and experience.
  • Minimum 3 years of progressively responsible administrative management experience, preferably in human services or residential programs.
  • Prior supervisory experience required, with ability to manage multiple managers or supervisors.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong skills in leadership, organization, prioritization, and problem-solving.
  • Ability to communicate effectively and work cooperatively across teams.
  • Ability to maintain confidentiality and handle sensitive matters appropriately. ? Qualifying background check, driving record, and valid driver’s license are required.
